What information is being collected?
- Student demographics, such as name, grade, homeroom, and school/district. Parent names may be collected if required for consent.
- Staff demographics and school assignments.
Who is it being shared with?
- All Office 365 data is stored in a Canadian Cloud.
- *Note: Personal information may be accessed outside of Canada through Office 365, only in the following circumstances:
- Staff member or student accesses their Office 365 account while travelling outside of Canada
- Support interactions with Microsoft help desk or personnel who do not reside in Canada
- Classroom activities that involve interaction with overseas schools and require the disclosure of the student’s name, email address and content outside of Canada.
For what purpose?
- To provide network access, and a communication and collaboration platform for students and staff in the school district.
- To provide users with access to industry-standard software programs such as Word, Excel, PowerPoint, OneNote and Outlook.
- To provide students with essential access to the use of technology to develop digital literacy skills and meet various educational outcomes.
What else do I need to know?
- Office 365 is a condition of service for Central Okanagan Public Schools as it provides students and staff required access to our networks and applications.
- Office 365 collects, stores, processes and shares student personal information only for the purposes of providing the service, or as authorized by a school or a parent.
- Office 365 does not own the content or data collected from a district, school board, school, teacher, parent or student. Users own their content and data.
- Office 365 does not sell, use or share personal information or content for marketing or advertising purposes.
- Office 365 does not use student data for targeted advertising purposes.
- Microsoft maintains a comprehensive data security program designed to protect the personal information collected for the purposes of delivering the service.
- At any time, a parent/guardian can complete a formal request to delete all files for their child on Office 365.
